How to contribute or claim resources

The WARPit system has been developed to make the transfer of resources between owners simple and easy. The system has been developed after 10 years in the furniture and equipment reuse sector. There are a lot of problems inherent in transferring equipment- which can be avoided with some straightforward guidance.

To make sure the transfers of ownership are efficient legal and safe, the following guidelines should be followed- as well as the Transfer of Ownership.

Contributing resources

The contributing party should describe goods accurately. The upload form has been designed to make this process as easy as possible. Where you see a [?] hover over it for guidance.

The contributing party agrees that the item is being donated free of charge. 

The contributor assigns ownership of the donated goods to the claimant. The contributor makes no warranty or representation of any kind, either expressed or implied including (without limitation) any warranty of merchantability or fitness for purpose in relation to the receipt or use of the donated goods. Ensure you have read the agreement included on claim emails.

Claiming Resources

When claiming items, the claimant takes responsibility for the ownership of the item. It is recommend in all cases that claimants make an appointment to view the products of interest before committing to ownership. It is important that claimants satisfy themselves that the products meet with their approval. Ensure you have read the agreement included on claim emails.

Second hand equipment is not covered by manufacturers guarantees.

The Claimant must acknowledge and agrees that:
a) The donated goods will be for the use of the claimant only;
b) The claimant must ensure that the donated goods are safe and fit for their purpose.
c) The claimant accepts the donated goods entirely at its own risk and the contributor is not responsible for any injury or harm resulting from the use of donated goods.
d) The claimant indemnifies, releases and holds the contributor harmless from and against all claims, damages, loss, expense and liability, both direct and indirect, of whatsoever nature arising from or in connection with the donated goods.

At the University of Oxford when using our reuse portal (WARP it) we want to ensure that everyone has a great experience, as such we have created the ‘Terms and Conditions of Use’ and an agreement. The ‘Terms and Conditions of Use’ must be read before you use our WARP it portal. By using WARP it you agree to adhere to these.

INTERNAL RULES ON DONATIONS USING WARP-IT

Background
Waste Action Resource Efficiency Limited (warp-it) operates the website https://www.warp-it.co.uk/OxfordUniversity and the University has subscribed to use the website. The University’s portal page can be found here https://www.warp-it.co.uk/OxfordUniversity.

Site use
The site is to be used by staff of the University of Oxford, colleges or permanent private halls (“Collegiate University”) to share items within the Collegiate University. If an item remains unclaimed within the Collegiate University for more than one month, it will automatically be made available for donation to organisations outside the Collegiate University through warp-it, unless stated otherwise.

The portal does not permit claiming items from third parties or for or on behalf of third parties; neither does it permit the claiming or posting of items for personal use or for or on behalf of a person for personal use. The portal is for Collegiate University items only.

To donate items on warp-it you must:

• be a current staff member of the University of Oxford or one of its colleges or permanent private halls;
• be at least 18 years old;

• specify on the item description the name of the entity which is contributing it (the ‘Contributor’) e.g. if the item is owned by the University, select ‘Chancellor Masters and Scholars of the University of Oxford’, whereas if the item is owned by a college or PPH, select the name of the college or PPH;
• have permission to donate the item/s, and comply with all applicable University and college rules, policies and processes, including the University’s Gifts and Hospitality Policy, the Policy on Conflict of Interest, and the Financial Regulations (including any requirements to update the applicable equipment, stock and/or gifts register/inventory); and

• ensure that the donation will not breach any third-party rights. The University (or college or PPH, as applicable) must be permitted to donate the item without any restrictions e.g. from a donor, manufacturer or collaborator.

The item must:
• be worth less than £5,000 (and have no value to the Collegiate University – if it is not donated, the item would be discarded);

• be the property of the University or one of its colleges or permanent private halls (it must be owned outright, with no charge or encumbrance over it);

• be described carefully and accurately;
• not be broken or unusable;

• conform in all material respects with its description;

• be of satisfactory quality, and reasonably fit for all the purposes for which items of that kind are commonly supplied; and

• not contain any health or safety risk; and

• not be subject to any export controls or give rise to any national security concerns in the UK.

For electronic items ensure that all data has been irretrievably erased and you have met all applicable University and college data protection and information security requirements regarding the use of IT facilities and followed guidance from your department and/or IT services. Electric heaters and other electrical equipment should not be donated if there is any fire safety risk.

Lab equipment must have been decontaminated.

Collection

It is the claimant’s responsibility to arrange for the item to be collected, including the costs of this.
